Reports to: Events Manager

Job Summary:
The Events Associate will assist in the planning, coordination, and execution of events, ensuring smooth operations from preparation to post-event evaluation. This role requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced environment while managing multiple priorities.

Key Responsibilities:

  1. Event Planning & Coordination
    • Support the Event Manager in developing event timelines, budgets, and checklists
    • Assist the Event Manager in developing event strategies
  2. Travel Logistics
    • Coordinate visa applications
    • Arrange flight bookings
    • Organize accommodation for staff
  3. Marketing & Promotion
    • Assist in creating promotional materials and event content
    • Support social media and email marketing campaigns for events
    • Collaborate with the communications team to ensure consistent branding
  4. Registration Management
    • Manage attendee registrations and maintain accurate participant databases
  5. Post-Event Activities
    • Assist in preparing event reports and conducting data analysis
    • Gather and organize feedback from attendees
    • Help prepare post-event presentations and impact reports

Skills & Qualifications:

  • Bachelor’s degree in Events Management, Marketing, Communications, or a related field (or equivalent experience)
  • At least 3 years of experience in event planning, coordination, or project management
  • Fluent in English and minimum fluent in French (both written and spoken)
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Proficiency in MS Office; familiarity with event management software is an asset
